Results of the UI Printer Bid

The committee decided to award this year’s printer bid to Dell, but also awarded the bid to Erb’s so that work groups on campus could purchase HP and Lexmark printers at the bid pricing level. On this website are links to pages with information about the Dell, HP, and Lexmark printers that were included in the bid. You will also find workgroup classifications of the bid printers, warranty information, and total cost of ownership information.

Five-Year Total Cost of Ownership Calculation

We have estimated the five-year total cost of ownership (TCO) for the available printers by totaling the cost of the printer, toner (at current pricing), paper, and maintenance kits*. We calculated it assuming that B/W small work group printers are printing 1,500 pages per month, medium are printing 5,000 a month, and large are printing 20,000 a month; Color small work group printers are printing 1,500 pages per month, medium are printing 3,750 pages per month, and large are printing 12,500 pages per month. We also assume that the price of one sheet of paper is $.00688, which is based on current pricing.
*Maintenance kits are included in Dell's warranty. For HP and Lexmark printers, maintenance kits are purchased separately but included in pricing TCO.

Service Information

Dell Service/Repair Information:

  • Note: Dell includes Dell printer maintenance kits under the Dell campus agreement at no cost for the duration of the warranty.

Placing a Service/Support Call:
Have the following information:

  1. Your name, company name, your department, location, and phone number.
  2. Make, model and serial # of the problem machine, if applicable.
  3. If you are getting error messages, document the exact message and the frequency of the occurrence.
  4. Any changes that have been made to the system.

Service Procedure:

  1. Call Erb’s Business Machines, Inc. at 319-364-5159 or 1-800-369-3727 and ask for the Services Dispatcher. Low priority requests may be communicated via e-mail by providing all of the above information to service@erbs.com.
  2. Give the Dispatcher a brief but detailed description of your problem so it may be directed to the proper technician. Dispatch can determine current warranty status.
  3. Once the call has been placed, Dispatch assigns a technician.
  4. Response time will vary based on the severity of the problem.
Additional Information

Additional Offerings:

As part of the bid, Dell provides the following offerings at no additional costs to the University of Iowa:

  1. Evaluation Units – As a common practice and when requested by the user department, Dell will provide an evaluation printer for the department to test in their environments. The testing period is to allow the user department to confirm that the unit works seamlessly in their environment.
  2. Assessment and Consultation – It is Dell’s genuine desire to provide consultation on the placement of printers and not simply replace existing equipment. Through the PrintFleet Assessment tool, Dell can measure the print volumes, identify old non-functioning devices and
    monitor the print environment. Once completed, Dell will provide recommendations to right size
    existing fleets, consolidate workgroup printers, eliminate old non-functioning units and then replace printers.
  3. Recycling of Printers and Toner -
    Dell provides free recycling for used Dell and all competitor printers when the printer is replaced with a Dell printer. Simply put the old printer in the replacement printer box and print out a label (see link) and call carrier to pick up. Dell covers the cost of shipping. With the purchase of every Dell toner cartridge a return label is included in the box to send the used cartridge back to Dell for recycling.
  4. High-Yield Toner Cartridges – In an effort to provide lowest cost per print as well as fewer toner cartridges being used, Dell offers high-yield toner cartridges on most Dell printer models. Cost savings for the University of Iowa means fewer cartridges and reduced cost of time to order and install. Lastly, fewer cartridges will mean a savings to our environment.
